Tajdeed helps you organise documents and manage renewals. This policy explains how OpsBreak Technologies FZ-LLC, Ras Al Khaimah, UAE ("we", "us"), handles personal information across the Tajdeed website and apps.
We do not sell personal information or use your documents for advertising or to train our own AI models. You can manage, export and request deletion of your information.
1. Information we collect
- Account and workspace details: your name, email, optional phone number, language, organisation details, invitations and access permissions. With a connected sign-in service, we receive your account identifier, email and basic profile details, not your password for that service.
- Documents and renewal activity: names, document numbers, dates and notes you review and save; linked records, checklists, assignments, guide selections, renewal history and reminder preferences. Documents may contain identity, employment, insurance or other personal information.
- Document requests: proposed expiry dates and submission and review activity. Original files are not retained.
- Service and support records: message delivery status, account activity, usage information, IP address, browser or device information, error records and correspondence with us.
- Billing information: subscription and transaction records when you use a paid service. Card payments, where available, are handled by a payment provider. Tajdeed does not store full card numbers or card security codes.
Information comes from you, people using your workspace or request links, connected services you choose, and your use of Tajdeed. Upload only information you are authorised to share.
2. How we use information
We use information to operate your account, organise documents, plan renewals, collect expiry details for review, send account and renewal messages, manage subscriptions, provide support and protect the service against misuse.
When you choose document scanning, we process the selected photo or PDF in request memory and send it to Google Gemini to read details such as the holder's name and expiry date. Tajdeed does not save the original file or raw extraction response with your account. Review and correct the suggested details before saving them. You can also enter details manually.
Depending on the purpose, processing is necessary to provide the service you request, meet a legal obligation or act on your consent where required. You may withdraw consent for consent-based processing by contacting us.
Tajdeed does not make government, employment or eligibility decisions about you.
3. Who can receive information
- Your workspace: authorised members can access information according to their permissions. Owners and administrators manage membership and document requests.
- People using request links: a link shows the requesting organisation, document type and link expiry. It allows submission of a proposed expiry date without access to the existing document. Submitted details are available to the requesting workspace for review. Share links only with the intended recipient.
- Service providers: providers supporting hosting, document scanning, email, sign-in, payments and customer support receive information needed for their role. We use contractual protections for providers processing information on our behalf. Connected sign-in, payment and email services may also handle information under their own privacy policies.
- Professional advisers and authorities: relevant information may be disclosed for accounting, legal obligations, lawful requests or the protection of legal rights.
Reminder messages can include the document title, type and expiry date. Document numbers included in reminders are masked. Consider what you put in titles and who receives the reminders.

4. Where information is processed
Tajdeed's saved application records are hosted in Germany. Uploaded originals are processed for scanning and are not stored with your account. Document scanning, email delivery, connected sign-in, payments and support may involve processing in other countries.
We use contractual safeguards with providers for international processing. You can request details of providers, destinations and safeguards. If you need a particular storage location, contact us before uploading documents.
5. Retention and deletion
We keep account and document information while needed to provide your workspace. You can delete individual documents in the app. Workspace owners can request deletion of the account and its workspace through Settings or by contacting us.
Deleting a document removes its active record. Tajdeed does not create backups of your document records or uploaded originals. Our move to reviewed details only includes removing previously stored originals and raw extraction snapshots while preserving your reviewed document details and renewal history.
Scanning does not create a saved document automatically. Tajdeed retains the reviewed details you choose to save, rather than the uploaded photo, PDF or raw scan response. Request links retain submitted expiry details for review; acceptance updates the document and retains its renewal history.
Google processes scan inputs under the terms and retention settings that apply to the Gemini API service. Our no-original-storage policy does not promise immediate deletion from Google's systems. Contact us for the current provider terms and processing arrangements.
Some billing, support and security records may be retained separately. Retention depends on their purpose, applicable legal requirements, unresolved disputes and the need to investigate incidents.
6. Your choices and rights
You can edit document details, manage reminder preferences and export records in the app. Under applicable data-protection law, you may also request access, correction, deletion, a portable copy, restriction of processing or withdrawal of consent, subject to the relevant conditions and exceptions. You may complain to the competent data-protection authority.
Email support@gettajdeed.com with the subject "Privacy request". We may need to verify your identity or authority to act. We will explain the outcome and any applicable limitation or retention requirement.
7. Cookies and device permissions
We use necessary cookies to keep you signed in, protect account actions and remember your language. We do not use advertising or third-party analytics cookies on the Tajdeed website. Connected sign-in services may use their own cookies on their pages.
An unsaved document draft may remain in your browser until you save or discard it. In the mobile app, camera and photo access are used when you choose to scan a document. You control permissions and device notifications in your device settings.
8. Protecting information
We use encryption, access controls and security monitoring to protect information. Access is limited to authorised users and people who need it to operate or support the service. No service can guarantee absolute security. Protect your account credentials and private sharing links.
If a personal-data breach requires notification, we will notify affected people and relevant authorities as required by applicable law.
9. Information about other people
If you manage documents for employees, clients or family members, you are responsible for explaining that use and having authority to share their information. For workplace and client records, the organisation generally decides why information is processed, and we process it to provide the service on its instructions. We remain responsible for our own account, billing and service administration.
Tajdeed accounts are intended for adults aged 18 or over. A parent or guardian may manage a child's documents. We do not knowingly invite children to create accounts or submit information directly.
10. Updates and contact
We will publish updates here with a revised date. For material changes to how we handle personal information, we will provide an appropriate notice and seek consent where required.
