How to run a UAE company from abroad without missing a deadline
Keep one calendar of every yearly date: licence, establishment card, corporate tax registration and return, VAT, audited accounts, the bank's licence update and any visa. Your free zone, accountant, PRO and bank each handle a part, but usually none of them tracks the whole year, so that job falls to the owner.

Submit audited accounts, if not already submitted
RAKEZ charges AED 2,500 for late submission. Qualifying Free Zone Persons, and companies with revenue over AED 50 million in the tax period, must prepare and keep audited financial statements for corporate tax (Ministerial Decision 84 of 2025).

Renew your trade licence
Late fees vary by authority, and some free zones, including RAKEZ, give no grace period. An expired licence can stop the company's visa services and can lead your bank to restrict the account.

Renew the establishment card
Most visa transactions for the company are blocked until it is renewed. The card needs a valid trade licence.

Send the renewed licence to your bank(suggested date)
Banks set their own rules. For example, Mashreq charges a monthly fee when no valid licence is on file after 60 days and can close the account after 180 days.

The full calendar for one company
Living abroad does not change any of these dates. They follow the UAE calendar, and the penalties are the same whether you are in Dubai or London.
- Trade licence: renew by the expiry date. Late fees vary by authority, and some free zones, including RAKEZ, give no grace period.
- Establishment card: renew by its expiry date. It needs a valid licence, and most company visa transactions stop until it is renewed.
- Corporate tax registration: once. Companies incorporated on or after 1 March 2024 have 3 months from incorporation. Late registration costs AED 10,000.
- Corporate tax return: every year, 9 months after the financial year ends, even at 0%. AED 500 a month or part month late for the first 12 months, then AED 1,000 a month.
- VAT returns, if registered: the 28th of the month after each period. AED 1,000 late, AED 2,000 if repeated within 24 months.
- Audited accounts: set by your free zone. RAKEZ requires them within 6 months of year end and charges AED 2,500 if late.
- Bank licence update: send the renewed licence to your bank. Mashreq, for example, charges a monthly fee after 60 days without a valid licence and can close the account after 180 days.
- Residence visa, if you hold one: renew by its expiry. If you stay in the UAE after the grace period, overstay fines are AED 50 a day.
Who usually handles each piece
Arrangements differ by company, but this is the usual split. Write down who does each item for yours, including you.
- Free zone or licensing authority: licence renewal, and often the immigration file. RAKEZ issues any applicable Immigration File e-card with the renewed licence.
- Accountant or registered tax agent: corporate tax registration and returns, VAT returns, and the books the auditor needs.
- Auditor: the audited financial statements. In RAKEZ this must be a RAKEZ approved auditor.
- PRO or company service provider: government transactions such as the establishment card and visas.
- Bank: asks for the renewed licence and other updates, on its own timetable.
- You: approvals, payments, signatures and the bank relationship.
Why nobody owns the whole calendar
Each provider sees its own part. The free zone writes about the licence, the accountant about tax, and the bank when a document is missing, often to different inboxes. None of them is paid to watch the rest.
The dates also depend on each other. The establishment card needs a valid licence, visas need both, the bank needs the renewed licence, and a Qualifying Free Zone Person needs audited statements for corporate tax. When an accountant changes or a PRO moves on, what they knew about your dates often leaves with them.
Give your accountant a login
Rather than forwarding reminders, put everyone on the same calendar. On the Owner plan, at AED 299 a year with no VAT added, you can invite your accountant or PRO with their own login, up to 3 logins in total. They see the same dates and get the same reminders, and a tax return stays open until its FTA reference is recorded. The Free plan covers one company with a single login.
Give each person their own login instead of sharing your password, so you can remove access when the work ends.
A simple routine from abroad
Once a quarter, look at the next 90 days and confirm who is doing each item. After every renewal, send the new licence to the bank; we suggest within 14 days unless your bank sets its own deadline. The free checker on this page builds the year for your company, and with an account, email reminders reach you wherever you are.
Common questions
Do my deadlines change if I live outside the UAE?
No. Every deadline follows the UAE calendar, and the same penalties apply wherever the owner lives. What changes is how easy it is to miss a letter or an email.
Which deadline is easiest to miss from abroad?
Often the ones nobody is paid to watch: the bank's licence update, the audited accounts for the free zone, and the corporate tax return for a company paying 0%, which still has to be filed.
Does my residence visa matter if I no longer live in the UAE?
The overstay fine of AED 50 a day applies if you stay in the UAE after the grace period. Visa renewals for the company also usually need the licence and establishment card to be valid first. Check your own position with ICP or your free zone.
Can my accountant see my calendar?
Yes, on the Owner plan. Invite them with their own login; they see the same dates and can mark filings done. You stay the owner of the account and can remove them.
Who should confirm my dates?
A registered tax agent for corporate tax and VAT, and your licensing authority for the licence, audit and immigration dates. Get Tajdeed is a deadline calendar with reminders, not a tax adviser or a government service, and it is not affiliated with or approved by the FTA, RAKEZ or any other authority.
